Privacy Policy

Michael Bernstein, trading as Foreman AI, is the data controller responsible for the personal data described in this notice. This notice explains how we collect, use, share, and retain data when you use Foreman AI.

Data we collect, purposes and legal bases

• Account and business details: your name, email, login information, business name, trade, location, writing preferences, and settings. We use these to create and secure your account and personalize the service, to perform our contract with you.
• Job and client content: client names and contact details, addresses, job descriptions, private notes, estimates, invoices, price-book entries, photos, PDFs, audio, walkthrough videos, transcripts, and generated documents. We process these to deliver the tools and saved job history you request, to perform our contract. You are responsible for permission to provide other people's data and recordings.
• Support communications: contact details, messages, and information supplied when requesting help. We use these to respond to requests and resolve issues, based on contract performance and our legitimate interests in customer support.
• Technical and usage data: IP address, browser or device information, request and error logs, and service-use information available to us or our hosting providers. We use these for security, fraud prevention, troubleshooting, and service improvement, based on legitimate interests.
• Subscription records: order and subscription identifiers, plan, payment status, and billing contact information supplied during checkout or by Paddle. We use these to provide paid access, reconcile sales, and meet accounting or tax duties, based on contract performance and legal obligations.

Where we rely on consent for optional processing, you can withdraw it without affecting earlier lawful processing. We do not sell your personal data.

Who receives data

• Service providers: hosting, account security, storage, AI processing, operational monitoring, and email or support services receive the information needed to perform their services on our behalf.
• Paddle: our Merchant of Record and authorized reseller receives checkout and billing information for product sales, subscription management, payment processing, tax compliance, invoicing, customer payment support, and refunds. Paddle handles payment details under its own privacy notice; Foreman AI does not store full card numbers.
• Professional advisers: legal and accounting advisers may receive relevant information when needed to advise us or meet our obligations.
• Authorities: we may disclose information when required by law or necessary to protect legal rights and address fraud or security risks.

AI processing and sharing choices

When you ask for AI assistance, relevant inputs, profile context, uploaded media, or extracted narration are sent to our AI service providers to generate your result. Avoid including information that is not needed for the task. Review generated customer-facing content before sharing it.

Job attachments and private notes use account-scoped access. If you create a customer approval link or connect an assistant to your account, the authorized recipient can access the information made available through that feature. Approval links can be revoked; anyone holding an active link can view the customer-facing estimate.

Data retention

Account profiles and saved job content are kept while your account remains open so you can use your history. You can remove supported individual records or files and contact us to request account closure and deletion. We review deletion requests and delete or anonymize data that is no longer needed, subject to legal duties, unresolved disputes, and backup cycles; account closure is not an immediate deletion guarantee.

We retain billing and transaction records for up to 7 years after the transaction for accounting, tax, and legal compliance, unless a longer period is required by law. Support correspondence is retained for up to 2 years after the request is resolved, unless needed for an ongoing dispute. Paddle retains its own payment records under its policies.

Security

We use appropriate technical and organizational measures, including encrypted connections, account access controls, and private storage access for job attachments. No system is perfectly secure. Keep your credentials and customer approval links secure.

Cookies and browser storage

We use essential cookies and browser storage for sign-in sessions and workspace preferences, including language, navigation, and demo state. These support service operation. You can clear or block them in your browser, but sign-in or preferences may stop working. This notice does not authorize optional advertising or analytics cookies; any future non-essential use will require the applicable notice and consent.

Your privacy rights

Depending on applicable law, you may request access, correction, deletion, a portable copy of your information, restriction of processing, or object to processing based on legitimate interests. You may withdraw consent where it is the basis for processing and complain to the relevant privacy authority. We verify requests and respond within the time required by applicable law; some records must be retained to meet legal duties.

You can edit your business profile in Settings. To request other changes, a data copy, or account deletion, use the contact below. Cancelling billing does not by itself delete saved job information.
